This includes information provided at the time of booking, registering to use our site, applying for a job, posting material, requesting further services or subscribing to any service offered by us on the site. We may also request further information should you report a problem with our site. We use third-party PCI DSS compliant payment service providers to process payment transactions securely. We do not store full payment card details on our systems; 

(b) Records of any correspondence should you contact us;

(c) Details of the resources you access and of your visits to our site;

(d) Details of transactions you may carry out through our site and of the completion of your orders.

Cookies

We use essential cookies to ensure our platform functions correctly. We also use Google Analytics, a web analytics service provided by Google, Inc. ("Google"), including its remarketing functions to understand site usage and deliver relevant accommodation advertising. Technical data

Where we store and transfer your personal data

Personal data we collect may be stored in or transferred to destinations outside the UK or the European Economic Area (EEA), including for processing by external service providers or booking partners. 

Where you book accommodation outside the UK or EEA, it may be necessary to transfer your personal data to the relevant campsite provider or supplier in that country in order to fulfil your booking.

Where we transfer your data internationally, we do so in accordance with applicable data protection laws by relying on UK adequacy regulations, standard contractual safeguards (such as the UK International Data Transfer Agreement or Addendum), or where necessary to process your booking.

Data Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. While the transmission of information over the internet carries inherent risks, we employ encryption and secure transfer protocols (such as HTTPS/TLS) to safeguard data submitted through our platform.

Legal basis for processing personal data

Contract: to fulfil our agreements, including but not limited to making holiday bookings, with customers, partners and suppliers, we need to process and disclose personal data.

Legal Obligation: To maintain accounting and transaction records, comply with tax laws, and respond to lawful public authority requests.

Retention

This is to enable us to provide our booking service, to resolve problems that may arise in connection with our services, including disputes and litigation, and to answer your questions. Data is securely deleted when no longer needed.

(f) In allowing ourselves to carry out any obligations concerning any contracts entered into between you and us;

(a) To relevant suppliers of your travel arrangements that are campsite providers or affiliates who require access to your personal information to fulfil your booking. These suppliers may process your personal information as independent data controllers in accordance with their own privacy policies.

(b) To organisations contracted by pitchup.com to manage aspects of the Website;

(c) To security, credit checking or fraud prevention agencies;

(d) To any relevant public authorities or law enforcement agencies;

(e) To agencies to check candidates for jobs;

(f) To the prospective buyer or seller of any business or assets in the event that we sell or buy;

(g) If we are under a duty to comply with any legal obligation to disclose or share your personal data, to protect the rights, property and safety of our customers or others, or to enforce our terms of use for the site.  For the purposes of fraud protection and credit risk reduction this may include exchanging information with other companies and organisations. 

Call recording

In the event that you call Pitchup.com by telephone, or are called by Pitchup.com about your booking, calls may be recorded for monitoring and training purposes, quality assurance, fraud prevention and dispute resolution purposes. 

Special category personal data

We may process special category personal data, such as information about health conditions, disabilities, dietary requirements or religious requirements, where you provide it for your booking. We process this information only with your explicit consent or another lawful basis permitted by applicable data protection law.

Third-party websites

From time to time our site may contain links to and from the websites of our partner networks, advertisers and affiliates.  If you visit any of these sites please note that they have their own privacy policies and you should check these before submitting any personal data. We cannot accept any responsibility or liability for these policies.

We may update this Privacy Policy from time to time to reflect changes in our services, legal obligations or data processing practices. Any changes to the pitchup.com privacy policy will be made to this page. Where changes are material, we will provide additional notice where required by applicable law.
